We are seeking a highly organized and proactive Assistant Manager – HR, Admin & Accounting to support the daily operations of our corporate functions, both in the Netherlands office and the Munich representative office. This role is responsible for managing key administrative, human resources, and accounting processes while ensuring compliance and accuracy across all activities. The ideal candidate will work closely with external partners such as legal, tax, and accounting firms, and maintain effective communication with the head office in Japan. The ideal candidate will have strong organizational skills, keen attention to detail, the ability to communicate effectively across teams and cultures, and a capacity to multitask in a dynamic environment.

 

Work Location: High Tech Campus, Eindhoven

Requirements

・ 10 + years’ work experience in a similar role covering HR, administration, and accounting.

・ 5 + years’ work experience in Netherlands (MUST)

・ 3 + years’ work experience in a company with a head office in Japan (MUST)

・ Good Office Skill (Excel, Word, Outlook)

・ Highly resourceful, well-organized, and detail-oriented

・ Fluent in English, with excellent communication skills

・ Fluency in Dutch or Japanese is required, with the ability to perform work tasks in either language

 

Job Responsibilities

Accounting

  • Manage accounts payable (AP), accounts receivable (AR), cash flow, payments, bank statements, and fixed assets.
  • Issue debit notes and invoices.
  • Handle expense reimbursements in line with company policies.
  • Coordinate with the external accounting firm for bookkeeping and monthly closings.
  • Assist in the preparation of financial reports.
  • Support VAT applications and tax filings in collaboration with the external tax advisor.
  • Assist in annual audit processes and liaise with auditors as needed.

Human Resources (HR)

  • Process payroll in coordination with the outsourced law firm.
  • Manage attendance tracking, leave, and holiday records.
  • Support performance evaluation processes.
  • Maintain and update company rules, policies, and internal regulations.
  • Administer employee pension and insurance matters.
  • Recruitment activities, including job postings and candidate coordination.
  • Handle visa and work permit applications in collaboration with legal partners.

Administration

  • Manage lease and rental car arrangements.
  • Maintain and oversee company contracts and agreements.
  • Organize procurement and maintenance of office equipment and supplies.
  • Facilitate internal applications for business trips, purchases, and approvals.

General

  • Collaborate effectively with external partners, including law firms, accounting firms, tax advisors, and auditors, to ensure smooth operations and compliance.
  • Maintain clear and timely communication with the head office in Japan, providing regular updates and reports as required.
  • Support team-building activities and contribute to a positive office environment.
